How to manually add a Takeaway and Delivery booking
Follow this guide to create manual bookings with Takeaway and Delivery orders in just a few simple steps. ⚠️ If you want to include the Takeaway and/or Delivery feature in your subscription, you’ll need to purchase a Premium or EVO plan under Subscription > Upgrade ⚠️ 👉 Before you begin, make sure you have already configured the Takeaway and Delivery service for your booking page. If in Configuration > Takeaway/Delivery the options related to Delivery and Takeaway are enabled You can proceed with creating the manual order. A window will open where you can choose to: Create a walk-in booking Create a Takeaway booking Create a Delivery booking 🥡 How to create a manual booking with the Takeaway service Once you have selected Takeaway as the booking method, you can: Select the date for which the customer requested the takeaway Choose the service and the desired time slot Enter the customer’s details Add any notes Decide whether to send a notification via e-mail/SMS to the customer Click Save and order Once you click Save & Order, you will be redirected to the menu page associated with the selected service, where you can enter the customer’s order: If you don’t know how to add an order for a booking on OctoTable, click here! 🛵 How to create a manual booking with the Delivery service Once you have selected Delivery as the booking method, you can: Select the date for which the customer requested the delivery Choose the service and the desired time slot Enter the customer’s details Provide the delivery address Add any notes Decide whether to send a notification via e-mail/SMS to the customer Click Save and order Once you have entered the delivery address, the system will suggest a result. After selecting it, the missing fields will be filled in automatically, and you will be shown the approximate distance and delivery time. 📌 Please note: If the distance and travel time exceed the maximum values set in the delivery configuration page (Configuration > Take-away/Delivery): These two fields will be highlighted in red: And if you proceed with saving anyway, a confirmation alert will be generated before creating the booking and registering the order. The order entry will follow the same principle as for Takeaway and Dine-in. 📌 Please note: To be able to see the booking on the booking list, you need to check the option "Awaiting payment", since the booking has not yet been paid for. To indicate that the amount has been paid, simply go to the order details and select whether the payment was made by credit card or cash. Follow this guide to set up and start receiving Delivery orders in just a few steps. ⚠️ If you want to include the Delivery feature in your subscription, you’ll need to purchase a Premium or EVO plan under Subscription > Upgrade ⚠️ 1️⃣ Activating the Delivery service Go to Configuration > Take-away/Delivery and enable the switch on the left side of the Delivery title. 2️⃣ Delivery rules and payment settings To ensure that the Delivery service on your booking page is configured according to your needs, set up: Maximum distance: set the maximum radius (in km) within which deliveries can be made. The system takes into account the location of your restaurant entered in Restaurant Profile > General Information. Delivery time: indicates the estimated maximum time for each delivery. Minimum order: defines the minimum order amount required to activate the delivery. Cost of delivery: specifies any additional fee for the delivery. Payment upon delivery: If enabled, this allows the customer to pay upon receiving the order. If you want the customer to pay at the time of ordering, disable the Pay on Delivery option. ⚠️ Attention To request immediate payment from the customer, you must configure your PayPal or Stripe account. Go to Advanced Settings > Account/Payments and complete the setup. Additionally, you can click on Add second delivery radius to configure a second delivery level (with different parameters), useful for managing more distant areas with different conditions. For example, you can set a larger maximum distance and apply a higher delivery fee, or require a different minimum order compared to the first radius. This way, you can offer the service to more distant customers while keeping delivery costs sustainable. Click Remove second delivery radius if you don’t need to create this rule: 3️⃣ Customisable texts Customize the texts visible to customers when placing a delivery order. Click Automatically translate missing languages for the missing languages to make them visible to customers who speak other languages as well. You can therefore enter a custom text that the customer will see before selecting the delivery time. We have already added two standard texts to guide the customer, but you can freely modify them: 4️⃣ Activation for services Now add the DELIVERY booking mode to the services you want to make available for this option. Alternatively, you can create specific services, for example Lunch Delivery. Go to Configuration > Services/Shift and, within the service where you want to enable delivery, under Booking method, select DELIVERY. 5️⃣ Menu association Decide whether to link one or more menus to the service from the Digital Menu (QR code) section: If you select multiple menus, the customer will be able to choose from which one to order when placing the order. 6️⃣ Booking Limits Setup On the right side of the screen, you will find the option Allow unlimited orders for delivery: If enabled: no limit to the number of orders for the service. If disabled (NO): you can set: How many orders you want to receive during this service How many orders you want to receive per hour 7️⃣ Saving and operation Save the service: you are now ready to receive Delivery orders. 📌 Please note Delivery bookings always refer to the current date. This is the feature for you if you need to streamline payments because you don't want to place a cash register at every counter or stand you want to receive an advance payment before preparing and delivering an order you organize events with many people and you want customers to place their own orders What is Pay&Go? The customer orders in seconds and pays online from his mobile phone Download the Octotable APP where you can see all the orders you receive and mark them as ready. As soon as they are marked as ready, the customer can be notified via email that the order is ready to be collected. How can you activate this service? set up online payments (Advanced settings > Deposits / Payments) set up the service with Pickup/Pay&Go booking method associate the service with a booking page (Configuration > Booking Page) Once you have verified that you have these requirements, access the Pickup service by clicking on Configuration > Services > click the pencil on the corresponding service where you'll find the PAY&GO icon and a QR CODE. (If you don't find this item, double-check that your service meets all the requirements or contact our support team via chat, by clicking on your account in the top right corner, on the question mark). Finally, print and place wherever you want the QR code you find on this page, which your customer can scan, order and pay the order. Notify the customer when the order is ready By setting the option to yes, customers receive an email notification as soon as the order is ready for collection. Within the email, you will have a QR code to show at the restaurant for pick up. With Octotable, you can limit the number of orders you receive per service or per hour! Let's see how to do it! In the menu on the left, click on [Services], select the service you wish to modify by clicking on the green pencil, and under Limit orders per service, enter the maximum number of orders you wish to receive for the selected service as takeaway and/or home delivery. If the service has a takeaway or home delivery mode, you will find the following box on the right-hand side of the screen where you can decide how many orders you want to receive per hour or per service👇 If the limit that you have set is reached, the customer can decide whether to make a booking for a different service or for a different time slot.
